Do you like being the go-to person for questions from your colleagues and do you get a lot of energy from organizing and arranging the daily office operations? Then we have a varied job for you in an informal team and in a work culture with short lines of communication and plenty of room for your own initiatives, ideas and responsibilities.

The job

At our front office you will be responsible for welcoming and giving directions to our customers, suppliers and other visitors and answering telephone and emails. To some extent, you will provide information about our training courses and services.

As a back office assistant, you will be the supporting force of our team, together with the office manager, to ensure that the administrative processes run smoothly and efficiently. In doing so, you will be working with the training coordinator, Business Development and Facility. You will actively contribute ideas on how to improve and streamline our business processes.

Core duties and responsibilities:

  • maintaining appearance and orderliness reception, lobby and pantries
  • mail and parcel handling
  • answering phones
  • managing the general company mailbox and the mailbox for supplier invoices

  • secretarial activities
  • ordering and organizing the catering for courses and events
  • course administration
  • ordering office supplies
  • sick and betrothal of personnel and other HR updates

In addition to these core tasks, you are available for all kinds of supporting, more incidental activities for various colleagues and departments.

The profile

  • HBO working and thinking level or equivalent through work experience
  • Administrative experience
  • Experience with Microsoft Office (Word, Excel, PowerPoint), knowledge of SharePoint is a plus
  • Good command of Dutch and English, both spoken and written
  • You work independently but also enjoy working with others
  • You know how to prioritize
  • You communicate clearly, both verbally and in writing
  • You are customer-oriented and support your colleagues whenever needed
  • You have a representative appearance

About Biotech Training Facility

Biotech Training Facility is a training center in Leiden that offers theoretical and practical pharmaceutical training courses in GMP, quality and production. The courses take place in a real-life environment as the facility is fully equipped with laboratories, clean rooms and a technical area.
